Outbound Volume Calculator Emails Needed to Hit Meeting Goals

Most outbound plans start with 'how many emails can we send' instead of 'how many meetings do we need'. Enter your monthly meeting target, reply rate, and positive-reply-to-meeting rate to get the required send volume, mailboxes, and sending domains.

How this check works

  1. 01

Meetings needed ÷ booking rate = positive replies needed.

  2. 02

Positive replies ÷ reply-to-positive ratio ÷ reply rate = total emails to send.

  3. 03

    Volume ÷ (25 emails/day × 20 sending days) = mailboxes required; domains = mailboxes ÷ 3.

How to fix common problems

Volume looks impossibly high

Then the leverage is in the rates, not the volume. Better lists and personalization move reply rate from 1% to 3–5%, cutting required volume by 3–5x.

Scaling one mailbox instead

Never push a single mailbox past ~30 cold emails/day. Scale horizontally more mailboxes across more domains.

Example

20 meetings/month at 40% booking, 30% positive rate, 3% reply rate needs ~5,600 emails/month ≈ 12 mailboxes ≈ 4 sending domains.

FAQ

What is a good cold email reply rate?
1–3% is typical; 5%+ is strong and usually means tight ICP plus real personalization. Below 1%, fix targeting before adding volume.
How many mailboxes per domain?
2–3 per sending domain is the common ceiling. Beyond that, a domain-level reputation hit takes down too much capacity.
How many emails per day per mailbox?
20–30 cold emails/day including follow-ups, after warm-up. Filters penalize sudden volume spikes from young mailboxes.
