Cold email & deliverability
- What is email deliverability?
- Email deliverability is whether your emails reach the inbox instead of spam or being rejected. It's decided by sender reputation (complaints, bounces, engagement), authentication (SPF, DKIM, DMARC), list quality, and content roughly in that order. - How do I check my domain's SPF record?
- Use the free SPF Checker: enter your domain and it fetches the live TXT record, verifies there's exactly one, estimates the 10-lookup budget, and grades the all-policy. Or query TXT records for your domain in any DNS tool and look for the entry starting v=spf1.
- How do I check if my domain is blacklisted?
- Run the free Blacklist Checker it queries the Spamhaus DBL live, the most influential domain blocklist in email filtering. NXDOMAIN means clean; a 127.0.1.x response means listed, with the standard remediation path explained.
- What is the difference between SPF, DKIM and DMARC?
- SPF lists which servers may send for your domain. DKIM signs messages cryptographically so receivers can verify they weren't altered. DMARC requires SPF or DKIM to pass with From-domain alignment, sets the failure policy (none/quarantine/reject), and collects reports. You need all three each covers the others' gaps.
- How many cold emails can I send per day?
- 20–30 per mailbox per day, including follow-ups, on warmed infrastructure. Scale by adding mailboxes across separate sending domains never by pushing one mailbox harder. Model your fleet with the Cold Email Sending Calculator.
- How do I improve cold email deliverability?
- In order: authenticate every sending domain (SPF/DKIM/DMARC enforced), warm up new infrastructure 2–4 weeks, keep hard bounces under 2% with verified lists, keep complaints under 0.1%, cap volume at 25–30/day/mailbox, and send plain-text-style emails with at most one link.
Lead generation & data
- How do I clean a B2B lead list?
- Five passes: normalize (trim, lowercase), dedupe case-insensitively, drop invalid syntax, remove role accounts (info@) and free-mail addresses, then verify each domain has MX records. The free CSV Lead Cleaner and Email List Validator do all five in your browser.
- How do I verify B2B email addresses?
- Three layers: syntax (shaped like an email), domain/MX (the domain accepts mail free with the Email List Validator), and mailbox-level verification (SMTP handshake via paid verifiers). Verified lists should hold hard bounces under 2%.
- How much does lead enrichment cost?
- Raw lookups run $0.01–$0.10 each, but true cost per enriched record is higher after match rates a $0.02 lookup at 55% match rate costs $0.036 per record. Waterfall enrichment pays only for verified hits and typically cuts effective cost 40–60%. Model it with the Enrichment Cost Calculator.

- A Clay column that queries multiple data providers in sequence for each lead cheapest first and stops at the first verified result. Coverage jumps from 50–70% (single provider) to 85–95%, and you pay only for successful enrichments instead of failed lookups.

- What is a GTM engineer?
- A GTM engineer designs, builds, and operates the data and automation systems behind modern outbound: signal detection, enrichment waterfalls, cold email deliverability infrastructure, and workflow automation in tools like Clay and n8n. Unlike an SDR agency that adds headcount, a GTM engineer adds systems that keep running after the engagement ends.
- What does DFY GTM Systems actually do?

- Is this an agency?
- No. It is a specialist GTM engineering team working with a deliberately small roster of clients. There are no account managers, no junior handoffs, and no reselling of someone else's lead lists.
Timelines
- How long does it take to go live?
- First campaigns go live in 10 days. Verified lead list builds take 5 to 10 days, signal-based lead generation about 10 days, and full cold email infrastructure 10 to 14 days. Day 1 is a 30-minute strategy call; days 2 to 10 are build and deploy.
- Is 10 days actually realistic?
- For getting a system live, yes. For optimization, no. The first 10 days gets campaigns running. Months 2 to 3 is where it gets sharp through testing on subject lines, offers, segments, and send timing.
Pricing and commitment
- How does pricing and commitment work?
- There is a build phase followed by month-to-month continuation. No annual lock-in. You can stop after any month and keep the system, the data, and the accounts, because they were always in your name.
- Why month-to-month and not a long retainer?
- Because you should feel free to leave. If the system performs, you will want to stay. If it does not, you should be able to exit without a contract fight.
Ownership
- Who owns the accounts, data, and system?
- You own the email sending infrastructure domains, sending accounts, and your CRM data. The Clay workspace, lead lists, and enrichment data remain with us as part of the system we operate. At the end of the engagement the handover package includes a runbook, Loom walkthroughs, and a Clay export so your team can take it in-house if needed.
- Can I take the system in-house afterwards?
- Yes, and it is designed for that from day one. Take the runbook and Clay export and run it yourself, or keep the month-to-month operating support. Both paths are real.
Results
- What results should I expect?
- We guarantee 10+ qualified meetings in month one. From month two onwards, targets increase based on campaign performance and results. List accuracy is 95%+ on verified data. Inbox placement runs around 94%.
- What if it does not work?
- A properly built system will generate and route leads. Whether those leads convert depends on your offer, follow-up, and sales team. The system gets optimized weekly; closing deals stays with you. There is no fabricated revenue guarantee.
- Do you just sell lead lists?
- No. A list sitting in a CRM is worthless. The whole motion is automated: extraction, enrichment, scoring, outreach, reply classification, and CRM routing.

- Which tools do you build in?
- Clay, Apollo, Instantly, Smartlead, n8n, LinkedIn, Google Maps, industry databases, and your CRM (HubSpot, Pipedrive, and similar). The system is built into tools you already pay for wherever possible.
- Who is this a good fit for?
- B2B companies with a defined offer and a clear ICP that need outbound pipeline built as infrastructure: agencies, B2B SaaS, cybersecurity and MSP, professional services, and multi-location operators. It is a poor fit if the offer is undefined or there is nobody to take sales calls.
- Do you work with clients outside the US?
- Yes. Work spans the US, UK, Canada, Australia, and DACH, delivered remotely with async updates plus a shared Slack channel.
