How to Build a B2B Lead List

To build a B2B lead list: define a narrow ICP, pull companies from one primary source (LinkedIn, Apollo, Google Maps, or industry databases), find the right contacts, enrich emails through a waterfall, verify everything, and dedupe before upload. A good list is 500–2,000 perfect-fit contacts not 10,000 loose ones.

Start from the ICP, not the database

Most bad lists are built by opening a data tool first. Reverse it: write the one-paragraph ICP (industry, size, geography, buyer, pain, trigger) and only then decide which source can actually filter for it. If your ICP is 'cybersecurity MSPs with 10–100 staff in Florida', a generic database filter won't find them an industry directory will.

Pick one primary source per segment

  • LinkedIn / Sales Navigator best for role and seniority targeting.
  • Apollo broad B2B coverage, built-in filters, good starting point.
  • Google Maps local and multi-location businesses (agencies, clinics, contractors).
  • Industry directories & associations niche verticals generic databases miss.
  • Job boards companies hiring for a role are signaling a need right now.

Enrich with a waterfall, not one provider

No single provider finds more than 50–70% of emails. A waterfall tries providers in sequence (cheapest first) and stops at the first verified hit you pay for one verified email, not five failed lookups. This is the single biggest lever on cost per verified lead.

Verify and dedupe before anything ships

Verification (syntax + MX + mailbox-level) keeps hard bounces under 2%. Dedupe across every merged source the same person appearing in Apollo and a trade-show list will get your email twice and mark it spam.

FAQ

How big should a B2B lead list be?
For cold email, 500–2,000 tightly targeted contacts per segment. Smaller, sharper lists let you personalize and read results clearly.
Should I buy a pre-made list?
Rarely. Pre-made lists are sold repeatedly and decay fast. A custom-built, verified list outperforms on both deliverability and reply rate.
How often should a lead list be refreshed?
Re-verify active segments quarterly. Contact data decays roughly 2–3% per month as people change jobs.
