Cold Email Guide

Cold email works when four layers are right: infrastructure (authenticated sending domains), list (verified, ICP-fit, triggered), copy (short, specific, one ask), and volume (25–30/day/mailbox, scaled horizontally). Most failures are list or infrastructure problems misdiagnosed as copy problems.
Layer 1 Infrastructure
Send from separate domains (get-yourbrand.com), never your primary. SPF, DKIM, and DMARC configured on each; 2–3 mailboxes per domain; 2–4 weeks warm-up before cold volume.
Layer 2 The list
Verified emails, tight ICP, and ideally a trigger (hiring, funding, launch). 500–2,000 perfect contacts beat 10,000 loose ones reply rate is the volume multiplier.
Layer 3 Copy
- 50–125 words for the first touch.
- First line about them (a trigger), not you.
- One idea per sentence, one sentence per line.
- One low-friction ask a question beats a calendar link.
- Zero or one link; no attachments.
Layer 4 Sequences and limits
3–4 touches over 2–3 weeks. Follow-ups are shorter than the first email, not longer. Keep total daily volume per mailbox under 25–30 including follow-ups.

- Does cold email still work in 2026?
- Yes but the bar rose. Post-2024 Google/Yahoo bulk-sender rules made authentication and complaint rates hard gates. Targeted, verified, well-instrumented campaigns still book meetings at scale.
- Is cold email legal?
- In the US under CAN-SPAM (accurate headers, working opt-out, physical address). GDPR jurisdictions require a legitimate-interest basis and tighter targeting. Honor opt-outs everywhere, immediately.
- How many follow-ups should I send?
- 2–3 follow-ups after the first touch, spaced 3–5 days apart. Beyond four total touches, returns drop sharply and complaints rise.
