DNS Setup Guide for Email

By Abdul Sami, GTM Engineer · 6 min read · Last updated

The correct DNS setup order for email: MX first (so replies can arrive), then SPF, then DKIM (published and enabled), then DMARC (starting at p=none). Lower TTLs a day before planned changes, and verify each layer before moving to the next.

The change order

  • MX mail routing must work before anything else matters.
  • SPF one TXT record, -all policy.
  • DKIM publish the key, then enable signing in the platform.
  • DMARC p=none + rua first; enforce after clean reports.
  • BIMI/MTA-STS (optional) after DMARC enforcement.

TTL strategy

TTL is how long resolvers cache your record. Defaults of 3600s (1 hour) are fine day-to-day. Before a planned migration, drop TTL to 300s a day early so changes propagate fast; raise it back after.

One TXT caveat

A domain can hold many TXT records, but only one may start with v=spf1 and only one DMARC record may exist at _dmarc. Verification tokens (Google, Microsoft) are fine to multiply.

Verify as you go

After each change, confirm with a live lookup the DNS Checker shows exactly what the world sees, including remaining TTL on old cached values.

FAQ

How long do DNS changes take?
Up to the old record's TTL minutes to 24 hours. On Cloudflare and most modern hosts, new records are visible in minutes.
Where do I make these changes?
Wherever your nameservers point check the NS records. Often your registrar, Cloudflare, or a DNS host like Route53; not necessarily your website host.
Can DNS changes break my website?
Email records (MX, TXT) don't affect web traffic. Risk only comes from touching A/CNAME/NS records leave those alone unless migrating the site.
